How do I reserve exhibit/consultant center space?

How do can I see the exhibit hall floor plan and booth availability?

What is included in the exhibit booth fee?
The booth fee includes all standard pipe and draping, one company ID sign, company listing and exhibitor description in the conference program book, four complementary conference registrations for your exhibitor representatives, one full set of conference meal tickets and the advanced and final conference registration lists.
What is the Consultant Center?
The Consultant Center is a paneled wall lined with acrylic brochure holders and company ID signs (one brochure holder and ID sign per company) where materials/brochures can be displayed. The Consultant Center is located in the exhibit hall. The purpose of the Consultant Center is to provide consultants with a place to display their information and meet with clients without having to maintain a full exhibit booth.
What is included in the Consultant Center fee?
Consultant Center exhibitors receive a company listing and exhibitor description in the conference program book, two complementary conference registrations for your consultant center representatives, one full set of conference meal tickets and the advanced and final conference registration lists.
What is the Consultant Center special rate?
The special reduced rate is for small consulting firms (one – two person shops only.)What is not included in the exhibit booth and Consultant Center fees? All furniture rental, additional carpet rental, shipping and drayage fees, display set-up fees, exhibit rental fees, extra signage, additional representatives (beyond the complementary registrations included with your fee), additional meal tickets, electrical and internet services.

Yes, the exhibit hall is carpeted. Additional carpeting can be renting through AHP’s decorator.

How do we obtain furniture, labor, drayage service and other equipment and services?
The official exhibitor service contractor is George Fern Company. George Fern will handle all decorating, drayage, furniture rental, etc. You will receive the link to the online exhibitor service kit from Geo Fern in July 2008. If you have any further questions about furniture/labor fees, please contact Geo Fern at (615) 256-0357.
How do we obtain hotel reservations?
The Sheraton Chicago Hotel & Towers is offering AHP conference attendees a special rate of $269 single/$289 double, plus tax. To make reservations, call the hotel at (312) 464-1000 and identify yourself as an Association for Healthcare Philanthropy conference attendee. The rate is available until August 26, 2008. These special rooms may sell out prior to the August 26, 2008 cut-off date, so we encourage you to make your reservation early. Reservations made after August 26, 2008, will be on a space-and-rate-available basis.

What is the conference attire?
Dress for all sessions is business casual. Business casual is defined as collared shirts, slacks, and optional sport coats for men; and casual shirts, slacks or dresses for women.
What are the important dates?
- March 3 – Cancellations received after this date will not be issued a refund
- August 26 – Room reservation cutoff date at the Sheraton Chicago Hotel & Towers
- August 29 – Advanced conference registration list (electronic, in excel format only) sent to exhibitors (sent to contact listed on application & contract)
- October 3 – Post-conference electronic attendee list (electronic, in excel format only) sent to exhibitors (sent to contact listed on application & contract)
